Basic Implementation Support

  • The PantrySoft system is very flexible to fit the needs of almost any pantry. This package provides onboarding assistance to ensure you get the most out of the software.
  • You will provide us with your intake forms, reports, and any other materials that may assist us in setting up your account.
  • We will meet for up to two one-hour remote sessions to walk through your account setup, make any modifications, and train you on the best processes to accommodate the workflow for your staff and volunteers.
  • Includes up to one hour of custom report configuration.

  • Assistance setting up API, Flat File, or Database integrations to provide additional data, make eligibility decisions, or push data to third party software. Note: Some data integration processes may cost extra.

Data Migration

  • Our process begins with a review of your current data structure. We have many years of experience with database programming and can work with pretty much anything you may have. After we review your data file we can confirm a price for the service, but it typically costs $1500.
  • We will build a custom import script to migrate and load your data into PantrySoft. You can then test out the system to make sure everything came across as expected. You can also train your volunteers using familiar data.
  • Once you are ready, we pick a go live day. At close of business, we grab another copy of your live data, import it, and you start the next day in the new system with current data.

  • Consulting: $200 per Hour or Flat Rate Quote
    • A series of One on One meetings with our founders to help you establish a set of standard procedures based on industry wide best practices. Our founders will leverage 20+ years of experience building creative solutions for non-profits and small businesses. With the decentralized nature of hunger programs in the US and abroad, information about day to day best practices can be hard to find and convoluted. Our unique experience across a diverse client base with a comprehensive set of needs gives us unparalleled perspective to help guide you into the most efficient workflows.
  • Custom Programming: $175 per Hour or Flat Rate Quote
    • PantrySoft “off the shelf” will fit the needs of most pantries whether you operate a choice pantry, standard box model pantry, clothing bank, backpack program, etc. However, we are always open to discussing customization requests to fit your specific requirements.
  • Custom Report Building: $125 per Hour or Flat Rate Quote
    • A wide variety of reports are available in the system, but custom report building is available to provide a tailored view of your data. Most custom reports end up taking 1-3 hours to build with a 3-4 week turnaround. Optionally, ask about structuring a few hours of custom reporting into your plan at the outset for a reduced monthly rate on regular requests.

  • The PantrySoft Volunteer Platform offers a simple, efficient way to manage volunteer sign-ups, schedules, hours, and communication in one place. A one-time $250 setup fee covers platform configuration, initial setup, and guidance to ensure your volunteer program is ready to launch smoothly. Subscription pricing is based off your current PantrySoft tier.

Feature Explanations


Active Clients

An active client is a household you’ve served within the last 12 months; repeat visits from your active clients does not increase this count, multiple people in one household are counted as one “active client”.

User Count

This refers to simultaneous users. You may create as many log in accounts as needed for your staff and volunteers. The purchased user count refers to how many devices can be logged into the system at the same time. Client Portal access does not affect your user count.

Ongoing Support

Issue or process troubleshooting by phone, email, support ticket, or live screenshare. Formal training sessions after the initial on-boarding are available at $150 per hour.

Client Portal

Custom interface where your clients can log in from their own device on their own schedule. Clients can self-register, book appointments, and ‘shop’ for food online through an e-commerce style ordering tool. Great for choice pantries offering curbside pickup!

Kiosk/Express Mode

Mobile-friendly Express mode. Handy for parking lot interactions on a tablet!

Location

A Location is an additional distribution facility. Mobile distribution sites or Locations created purely for organizing inventory do not incur additional charges.
